Description:
The role will be responsible for organising and supervising all of the administrative activities that facilitate the smooth running of the office and will be line manager to a team of administrators across the region.The main areas of the role will be:-· To provide administrative support for the Regional Manager and 2 Senior Contract Managers· To ensure that all administrators are trained to the correct standards to enable them to be able to undertake all admin duties for their contract(s).· To develop a weekly checking log to ensure that admin duties are being actioned correctly and in line with Company/client requirements.· To manage/monitor the administrators absence in terms of holidays, sickness, maternity, paternity etc to ensure that all areas are covered.· To ensure that the entire building is maintained to a high standard in terms of cleanliness and tidiness and free from hazards.· To undertake probationary and performance reviews of all administrators in order to ensure that any further development requirements are identified and actioned.· To hold monthly admin meetings to ensure that the team are fully aware of any changes, new contracts etc.· To be the first point of contact for any IT/office equipment issues both problems and requirements for the Godalming office.· To maintain stationery ensuring that this is kept to a minimum and controlled.· To action quotations as required· Deal with any fleet requirements in conjunction with the Group Fleet Co-Ordinator (based at Daventry), after initial recruitment.· Ensuring that the office runs in line with Company standards ie dress code, telephone usage etc.· To ensure that all Engineers uniform requirements are updated, after initial recruitment.· To deal with all mobile telephone requirements after initial recruitment.Applicants should have a strong administration background ideally gained within a Building Services environment. In addition to:-· Some form of supervisory experience would be desirable· A positive and adaptable approach to both workload, location and hours of work· Ability to work under pressure with strong interpersonal skills· Strong communication skills - both in writing and verbally· Well organised
